How It Works
From consultation to working support in days
A straightforward four-step process, designed so your practice can get started quickly without a complicated procurement or lengthy onboarding.
Free Consultation
We start with a 30-minute call to learn about your practice: the types of tasks taking up your team's time, the tools you use, and the volume of work you're managing. There's no obligation and no sales pitch. We want to make sure we're a genuine fit before recommending anything.
By the end of the call you'll know which service areas we can support, what the onboarding process looks like for your practice type, and what a two-week free trial would include.
Assistant Match
We match you with a virtual assistant based on your practice type, the specific tasks you need help with, and any tools or systems you rely on. We take time over this step: the right match means a smoother onboarding and a more productive working relationship from the start.
If we have a strong match available immediately, we'll introduce you right away. If not, we'll give you an honest expected start date so you can plan ahead.
Onboarding
Before your assistant begins any patient-facing work, they complete HIPAA training aligned to your practice's policies. We walk through your workflows together (how appointments are booked, how intake documents are handled, how your team communicates) so your assistant can work within your existing systems, not around them.
We keep onboarding focused and practical. Most practices are up and running within a few days of the match being confirmed.
Two-Week Free Trial
Your first two weeks are free. We want you to see the difference before you commit, not just hear about it. During the trial, your assistant works the agreed hours and tasks, and we check in mid-week and at the end of the trial to make sure things are running smoothly.
At the end of the two weeks, you decide whether to continue. No pressure, no automatic billing.
When can we start? We'll confirm your expected start date during the consultation. Lead times vary depending on assistant availability and your practice's onboarding requirements.
Common questions
Things people ask before getting started
Are your assistants already HIPAA-trained?
Yes. Every assistant completes HIPAA awareness training before they begin working with any client. During onboarding, we also review your specific practice policies so your assistant understands the standards that apply to your workflow.
What happens at the end of the free trial?
At the end of your two-week trial, we'll have a short debrief to review how things went. If you'd like to continue, we move to a standard monthly arrangement. If you decide it's not the right fit, there's nothing to cancel and nothing to pay. No automatic billing, no pressure.
How are hours tracked?
Your assistant logs hours against the agreed tasks. You'll receive a summary at the end of each week so you can see exactly where time was spent. We discuss hours and scope during the consultation so there are no surprises.
Can we adjust the scope after we start?
Yes. If your workload changes or you want to try a different service area, we can adjust. Talk to your account manager and we'll update the arrangement at the start of the next billing period.
